INVOICE MAKER / A PRACTICAL GUIDE

Create a clear invoice for your work

Itemise the work, make the amount due easy to understand, and review the PDF before sending.

STEP 01

Identify the invoice

Add your business name, client details and an invoice number you can recognise. Enter the issue date and an agreed due date. Include relevant contact and tax identification details in the address fields where needed.

STEP 02

Describe the work and check the total

Give each line a clear description, quantity and unit price. Pick the invoice currency before entering prices; changing the currency label does not convert amounts. The editor applies one discount to the subtotal, then one tax rate to the discounted amount.

STEP 03

Make payment instructions clear

Explain the agreed payment method and reference. Enter an amount already paid only when you have confirmed it yourself. The tool does not verify payments or send invoices. Save a copy and send the downloaded PDF through your usual channel.

An example to work from

Design work: 2.5 hours × USD 60.00 = USD 150.00. A 10% discount gives USD 135.00 before tax. A manually selected 5% tax adds USD 6.75, for a total of USD 141.75.

PUT IT INTO PRACTICE

An invoice for a small design project

  1. Add your business and the client, invoice number INV-014, an issue date and the agreed due date.
  2. Enter 2.5 hours at USD 60.00. A 10% discount reduces the subtotal from USD 150.00 to USD 135.00.
  3. If a manually chosen 5% tax applies, the total is USD 141.75. Review every detail before exporting the PDF.
Design work: 2.5 × USD 60.00 = USD 150.00
Discount (10%): USD 15.00
Tax (5% of USD 135.00): USD 6.75
Balance due: USD 141.75

The rate is illustrative. Handyfolio applies the rate you enter and does not determine tax requirements, currency conversion or whether a payment has arrived.

Common mistakes to avoid

Changing currency without updating prices
Currency selection changes the label, not the underlying values. Enter the correct amounts for the agreed currency.
Leaving out the payment reference
Include clear instructions and an invoice number so the client can identify the payment.
